Users, Roles and Invitations
Every person who works on your site has an account with a role that decides what they can do. This article explains the roles, how to invite new users, and how to manage existing ones.
The roles
| Role | Content, media, taxonomies | Delete things | Settings, navigation, users |
|---|---|---|---|
| Viewer | View only | No | No |
| Editor | Create and edit | No | No |
| Admin | Create and edit | Yes | Yes |
Roles are per site — the same person can be an admin of one site and an editor of another.
Above these stands the super admin: a special account with full access to all sites in the panel, including creating new sites. Super admins are created by the developer, not from this screen.
Inviting a user
Only site admins can invite users.
- In the left menu, click Users.
- Click the create button — the Invite User form opens.
- Enter the person's E-mail and pick a Role.
- Click Send Invitation.
The person receives an email with a link. After clicking it they choose their name and password and are logged straight into your site's admin.
Warning: Invitations are valid for 1 day. If it expires before the person accepts, simply send a new one.
Pending and accepted invitations are listed under Invitations in the menu — you can see who was invited, by whom, and whether they accepted.
Changing a role or removing a user
- Change role: open the user in Users, pick the new role, save. The change applies to the current site only.
- Remove: open the user and use Delete. Super admin accounts can't be edited from here.
Seeing who did what
Site admins have an Activity logs section — a chronological record of changes on the site: who created, updated or deleted which content, media, taxonomy or setting, and when. Use the filters to narrow it down by action.
Frequently asked questions
The invited person says the link doesn't work. The invitation likely expired (1 day) or was already used. Send a fresh one.
Someone needs access to two sites. One account can be a member of any number of sites and switches between them with the site switcher. However, the invitation flow is meant for new people — it creates a fresh account. To add an existing account to another site, ask your developer or super admin to assign it.
